Child Care Center Administrative Assistant- (Claremore, OK)

Seeking a qualified professional with Administrative Assistant experience.

DCD is seeking a qualified professional with Administrative experience interested in applying that to knowledge to a child care setting. The right person will assist in maintaining a positive learning environment conductive to the well-being of young children.

Position Summary

The Child Care Centers Administrative Assistant will provide the Center with administrative support. He/She will assist wherever they are needed. He/She will need to collaborate with the Site Director to produce valuable communications between Parents/Clients/Headquarters and the Center.

Essential Duties and Responsibilities

  1. Assist Site Directors as needed

  2. Communicate with Site Director when he/she is out of building

  3. Collaborate with Site Director to produce useful and valuable communications between Headquarters and Centers.

  4. Answer phone calls and emails, directing questions to appropriate parties and resolving center issues

  5. Send mail daily to Headquarters

  6. First-line contact for Licensing/Accreditation, Security, and Enrichment Teachers (Substitutes)

  7. Maintain all Licensing/Accreditation files

  8. Back-up contact for cleaning issues, purchase requisitions, menus, and food ordering

  9. Coordinate and make center assignments for Enrichment Teachers

  10. Ensure classroom coverage by managing substitute teachers’ scheduling and coverage program

  11. Perform food buying duties according to inventory and menus. Prepare, maintain, and review purchasing files, reports, and price lists. Prepare purchase orders and send copies to suppliers and to Executive Director for approval, as needed

  12. Create, maintain, and enter information into databases for recipes and menus

  13. Attend and participate in Staff Meetings

  14. Create and distribute Centers newsletters

  15. Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material

  16. Copy, file, maintain, and retrieve Centers’ documents, records, and reports

  17. Greet parents in the evenings


The Child Care Centers Administrative Assistant will report to the Site Director.

Minimum Qualifications


  1. Degree or certificate in Business or Office Management preferred, minimum of high school diploma with experience required

  2. Have a valid driver's license and be insurable

  3. Have no felony convictions or misdemeanor convictions for offenses relating to children or violence, and satisfactorily complete the required background check and drug testing


  1. Experience using MS Outlook, Publisher, Access, Excel, PowerPoint, and Internet
